This article shows you how to export an inventory count, update the Quantity on Hand (QoH) in Excel, and import and post the count in XSite so you can ensure inventory quantities are accurate and reflect the correct on-hand amounts.

Before you begin

  • Inventory Control must be turned on for your site.
  • You need access to Excel or a compatible spreadsheet program.

Steps

Export and modify counts in XSiteIO

  1. Go to Settings, select General, turn on Inventory Control, and click [Save].
  2. Go to Reports > Inventory Control > Inventory Valuation.
  3. Select a department, subdepartment, or supplier and click [Generate].
  4. Click [Export] to download the file.
  5. Open the file in Excel.
  6. Update Quantity on Hand (QoH) in Column H only.
  7. Save the file as an Excel Workbook (.xlsx).

Import counts into XSiteIO

  1. Go to Price Book > Inventory > Counts.
  2. Select the site and date range and click [Start New Count].
  3. Enter a name for the count and click [Start].
  4. Click [Import Count] and upload your Excel file.
  5. Return to the Counts list.
  6. Select the count and click [Post].
  7. Enter a comment and set the posting date and time.
  8. Check Posting will irrevocably change the inventory levels.
  9. Click [Post].

Confirm counts in XSiteIO

  1. Go to Price Book > Items > Items.
  2. Open the item you updated.
  3. Click Inventory and confirm the QoH value.

Export and modify counts in XSite Classic

  1. Go to Administration > General, enable Inventory Control, and click [Save].
  2. Go to Analytics > Inventory Control > Inventory Valuation.
  3. Select a department, subdepartment, or supplier and click [Generate].
  4. Click [Export] to download the file.
  5. Open the file in Excel.
  6. Update QoH in Column H only.
  7. Save the file as an Excel Workbook (.xlsx).

Import counts into XSite Classic

  1. Go to Inventory > Counts.
  2. Select the site and date range and click [Start New Count].
  3. Name the count and click [Start].
  4. Click [Import Count] and upload the Excel file.
  5. Return to the Counts screen.
  6. Select the count and click [Post].
  7. Enter a comment and set the posting date and time.
  8. Check Posting will irrevocably change the inventory levels.
  9. Click [Post].

Confirm counts in XSite Classic

  1. Go to Price Book > Items.
  2. Open the updated item.
  3. Under Inventory, confirm the QoH value.

Tips & Warnings

  • Only edit the Quantity on Hand (QoH) column.
  • Do not add, remove, or reorder columns.
  • Always save the file as .xlsx before importing.
  • Posting a count permanently changes inventory levels.
  • Review quantities carefully before clicking [Post].
  • If a file opens in WordPad, close it and reopen it in Excel.
