Add or edit a department
Organize items and apply tax or age rules

This article shows you how to add a new department or edit an existing department in XSite, including setting names, IDs, taxes, and sales restrictions so you can ensure items are grouped correctly and follow the right tax and age-restriction rules for accurate sales, compliance, and reporting.
Before you begin
- You must have permission to manage the Price Book.
- Departments should be planned before adding items.
Steps
Add a department in XSiteIO
- Go to [Price Book] → hover over [Items] → select [Departments].
- Click the [+] icon in the top left.
- Enter a unique number in the Id field.
- Enter the full department name in Name.
- Enter a Short Name (for example, BOTDEP for Bottle Deposit).
- Enter a Host Product Code (HPC) if required.
- Click [Add] to save.
Edit a department in XSiteIO
- Go to [Price Book] → [Items] → [Departments].
- Find the department using the search bar or select it from the list.
- Update the department details as needed.
- Select [Additional Options] for age or tax settings.
- Turn ON [Sales Restriction] or [Taxes] using the toggle.
- Click [Save] in the top right.
Add a department in XSite Classic
- Go to [Price Book] → [Departments].
- Click the [+] icon in the top left.
- Enter a unique Department Id.
- Enter the full Department Name and Short Name.
- Enter a Host Product Code (HPC) and GL Code if required.
- Click [Add] to save.
Edit a department in XSite Classic
- Go to [Price Book] → [Departments].
- Select the department or use the search bar.
- Update the department details.
- Turn ON [Sales Restriction] or [Taxes] using the toggle.
- Click [Save] in the top right.
Sales restrictions and tax setup
- Turn ON [Sales Restriction] and select the age limit (for example, 19+).
- Select TAX 1, TAX 2, or both under [Taxes].
Tips & Warnings
- Department rules apply to every item in that department.
- Changing taxes at the department level can affect many items at once.
- Always double-check age restrictions for regulated products.
