This article shows you how to add a new subdepartment or edit an existing subdepartment in XSiteIO or XSite Classic so you can keep items grouped correctly for accurate inventory, reporting, and item lookup.

Before you begin

Make sure the parent department already exists in XSite before creating a subdepartment.

Steps

Add a subdepartment in XSiteIO

  1. Go to [Price Book] → hover over [Items] → select [Subdepartments].
  2. Click the [+] button in the top left corner.
  3. Enter a unique subdepartment number.
  4. Enter the subdepartment name.
  5. Select the parent department from the dropdown list.
    1. (Optional) Enter a GL Code if required.
  6. Click [Add] to save.

Edit a subdepartment in XSiteIO

  1. Go to [Price Book] → [Items] → [Subdepartments].
  2. Click the subdepartment you want to edit or use the search bar.
  3. Update the required fields.
  4. Click [Save & Close].

Add a subdepartment in XSite Classic

  1. Go to [Price Book] → [Sub-Departments].
  2. Click the [+] button in the top left corner.
  3. Enter a unique subdepartment number.
  4. Enter the subdepartment name.
  5. Select the parent department from the dropdown list.
    1. (Optional) Enter a GL Code.
  6. Click [Add] to save.

Edit a subdepartment in XSite Classic

  1. Go to [Price Book] → [Sub-Departments].
  2. Click the subdepartment or use the search bar to find it.
  3. Make your changes.
  4. Click [Save] to confirm.

Tips & Warnings

  • Subdepartment numbers must be unique.
  • Use a clear naming pattern so staff can recognize subdepartments easily.
  • Changing a subdepartment affects all items assigned to it.
  • If items stop tracking correctly, confirm they are still assigned to the correct subdepartment.
