Write off an item
Write off damaged, expired, or missing inventory

This article shows you how to create and post an item write-off in XSite by selecting items and quantities to be written off so you can keep inventory levels accurate by properly removing unusable items so stock counts and reporting reflect reality.
Before you begin
- You must have access to Price Book and Inventory in XSite.
Steps
Write off an item in XSiteIO
- Go to Price Book > Inventory > Item Write-Off.
- Select your Store from the dropdown.
- Select your Supplier from the dropdown.
- Click [New].
- In the search bar, find the item by PLU, UPC, or Description.
- In the Write-off column, enter the quantity you want to write off.
- Select the correct Unit Type (for example, units or cases).
- Click [+] to add the item to the write-off list.
- Repeat steps 5–8 for each item you need to write off.
- Click [Save].
- Return to Item Write-Off, find your write-off record, and click [Post].
Write off an item in XSite Classic
- Go to Inventory > Item Write-Off.
- Select your Store from the dropdown.
- Select your Supplier from the dropdown.
- Click [Create].
- Search for the item by PLU, UPC, or Description.
- In the Write-off column, enter the quantity you want to write off.
- In the Units column, select the correct Unit Type.
- Click [Add] to add the item to the list.
- Repeat steps 5–8 for each item you need to write off.
- Click [Save].
- Return to Item Write-Off, find your write-off record, and click [Post].
Tips & Warnings
- Choose the correct Store and Supplier first. This helps you find the right items and avoids writing off the wrong stock.
- Confirm the Unit Type before you add the item. Writing off “cases” instead of “units” can remove too much inventory.
- Make sure each item is added to the list before you move on. In XSiteIO, use [+]. In XSite Classic, use [Add].
- Saving does not change inventory. Inventory updates only after you click [Post].
- After posting, the inventory change is immediate. If something looks wrong, stop and contact XSite Support before making more changes.
