Introduction

The Item Write-Off feature in XSite is a critical tool for managing your store's inventory with precision. This functionality allows you to adjust your inventory records for items that are no longer sellable due to reasons such as damage, expiration, or loss. Utilizing this feature ensures that your inventory levels remain accurate, which is essential for effective back-office management and operational efficiency.

Writing-off an Item in XSiteIO

  1. Navigate to the ‘Price Book’ heading in the side menu and select ‘Inventory’. From the expanded options, click on ‘Item Write-Off’ to access the write-off functionality.
  2. Use the drop-down menus to select the specific store you are managing, followed by choosing the supplier associated with the items you intend to write off. This ensures the write-off is accurately recorded against the correct inventory source.
  3. Click on the blue '+’ button to start the process of creating a new item write-off record.
    Locate the item by searching with its PLU, UPC, or description. Enter your query in the search field and press enter to bring up the item details.
  4. For the item in question, input the quantity you wish to write off in the ‘Write-off’ column. Ensure you select the appropriate unit type under the ‘Units’ column to accurately reflect the inventory adjustment.
  5. When finished, select the 'Add' button.
  6. Repeat the above steps for each item you need to write off. This process allows you to compile a comprehensive list of adjustments in one session.
  7. Once you have entered all necessary write-off details, click the blue 'Save' button located at the top of the page to secure your entries.
  8. Navigate back to the main 'Item Write-Off' page. From here, locate the write-off record you created and click 'Post' next to it. This action finalizes the write-off, updating your inventory records accordingly.
  9. Following the posting of your write-off, the inventory levels will be automatically adjusted to reflect the changes. This ensures your inventory data is up-to-date and accurate.
