This article shows you how to mark an item as inactive from the item page or item list in XSiteIO or XSite Classic so items you no longer sell are removed from the POS and reports while item history stays intact.

Before you begin

Before you start, make sure:

  • You are logged into XSite.
  • You have access to Price Book and Items.

Steps

In XSiteIO — from the item page

  1. Use the search bar to find the item by PLU or description.
  2. Click the item to open its details.
  3. At the bottom right, click [Item is Active].
  4. Confirm it changes to [Item is Inactive].
  5. Click [Save & Close].

In XSiteIO — from the item list

  1. Go to the Items page.
  2. Use filters to find the item.
  3. In the Status column, click [Active].
  4. Confirm it turns gray and shows Inactive.
  5. Use the [toggle] at the top right to view inactive items.

In XSite Classic — from the item page

  1. Use the search bar to find the item by PLU or description.
  2. Click the item to open its details.
  3. At the bottom, click [Active].
  4. Confirm it turns gray and shows Inactive.
  5. Click [Save], then close the item.

In XSite Classic — from the item list

  1. Go to the Items page.
  2. Use filters to find the item.
  3. In the Status column, click [Active].
  4. Confirm it turns gray and shows Inactive.
  5. Use the [toggle] at the top right to view inactive items.

Tips & Warnings

  • Items cannot be permanently deleted. Inactive items are hidden from sales and reports.
  • Inactive items keep their history for reporting and audits.
  • Sync after changes so the POS receives the update.
  • If you do not see status buttons, your permissions may be limited.
