Before you begin Steps in XSite Classic Tips & Warnings Video Guide

This article shows you how to enter a fuel delivery in XSite during the Daily Reconciliation process by selecting a fuel supplier and inputting delivery, quantity, cost, and tax details so you can ensure fuel deliveries are accurately recorded so fuel inventory, costs, and reconciliation data remain correct and reliable.

Before you begin

Make sure the supplier is already added in XSite and marked as a Fuel delivery supplier.

Steps in XSite Classic

  1. In the side menu, select Fuel/Shift.
  2. Click Daily Reconciliation.
  3. Select the shift when the fuel was delivered.
  4. Scroll to the Deliveries section.
  5. Use the dropdown to select the correct fuel delivery supplier.
  6. Click [Add].
  7. In the new delivery section, enter the B.O.L. Date.
  8. Enter the B.O.L. #.
  9. Enter the Delivery Date.
  10. Enter the Invoice Amount.
  11. Enter the Invoice Number.
  12. Find the fuel type/grade that was delivered.
  13. In Gross Quantity, enter the amount delivered and press Tab.
  14. In Cost Per Unit, enter the cost and press Tab.
  15. In Tax Rate, enter the tax rate and press Tab.
  16. Repeat steps 12–15 for each fuel type that was delivered.
  17. Review all delivery details for accuracy.
  18. Click [Save].

Tips & Warnings

  • Do not enter tax in the top delivery fields. Enter tax by fuel type/grade using Tax Rate.
  • Press Tab after Gross Quantity, Cost Per Unit, and Tax Rate. This lets XSite calculate Net Quantity, Amount, and tax.
  • If you do not see the supplier in the dropdown, it may not be marked as a Fuel delivery supplier.
  • Double-check the selected shift and Delivery Date. This helps keep daily reconciliation reports accurate.
  • If a delivery includes multiple fuel types, enter each one before you click [Save].
