How do I export, modify, and import a count?
Efficient Inventory Adjustments with XSite
Introduction
To maintain accurate inventory levels within XSite, it is essential to periodically perform inventory counts. This guide provides a step-by-step process for exporting inventory counts, modifying them, and importing them back into XSite. Before commencing, ensure the ‘Inventory Control’ feature is activated to allow modifications to your Quantity on Hand (QoH).
Exporting and Modifying Counts in XSiteIO
- Enable ‘Inventory Control’.
- Access settings from the bottom left of the screen, select ‘General’, and activate ‘Inventory Control’.
- Click ‘Save’.

- Navigate to ‘Reports’ via the side menu, find the ‘Inventory Control’ tab, and select ‘Inventory Valuation’.
- Choose a specific department, subdepartment, or supplier for the export and select ‘Generate’.
- Click the ‘Export’ button to download a CSV file.
- If opened in WordPad, close and reopen with Excel for data entry.
- In Excel, input updated counts into the QoH (Column H). Do not change any other columns or data. Remember to save your work often.
- Finalize by saving the document as an Excel Workbook (.xlsx) via ‘Save As’.
- Now that you have finished your count and saved it as an Excel file, you may import it back into XSite.
Importing Counts into XSiteIO
- Navigate to ‘Pricebook’ from the side menu. Select ‘Inventory’ followed by ‘Counts’.
- Set your site and date range and click ‘Start New Count’.
- Name the count and begin the import process by selecting ‘Start’.
- Select ‘Import Count’ and then browse and drag the previously saved Excel file into the boxed area.
- After importing, navigate back to the ‘Counts’ menu by following Step 1.
- Click the check box beside your imported count and hit the ‘Post’ button.
- Add a mandatory comment and set the posting date and time.
Note: You may choose a date/time in the past. - Finally select the check box that says, ‘Posting will irrevocably change the inventory levels of counted items’ and select ‘Post’.
Confirm Counts in XSiteIO
- Navigate to ‘Price Book’ from the side menu, select ‘Items’, and than ‘Items’.
- Locate and select the item that was modified.
- Select ‘Inventory’ from the top row and confirm your ‘QoH’ was updated.

- Click ‘Save’.

- Navigate to ‘Analytics’ via the side menu, find the ‘Inventory Control’ tab, and select ‘Inventory Valuation’.
